 ADMINISTRATIVE ASSISTANT

 

We are looking for an assistant to the director of operations, who will be assisting the director with staff supervision, organizing activities, bookkeeping, attending to resident needs and general office duties.

 

Full Time 40hrs

 

Responsibilities

  • Prepares account receivable and payables along with other general bookkeeping duties

  • Assists Director in creating monthly activities calendar and organizing / coordinating activities with volunteers, suppliers, residents and staff

  • Assists Director in supervising staff by conducting daily routine checks and inspections.

  • Coordinates staff duties for different departments ( Housekeeping, Kitchen staff, Night staff) and reports back to management on weekly basis.

  • Responsible for ensuring that all department employees fulfill their given duties.

  • Responsible for product inventory for given departments and places order requests when needed.

  • Conducts staff training and emergency drills with management.  

  • Assists Director by ensuring the needs of residents are met by responding to questions and complaints in a timely manner

  • Other duties related to this position may apply

 

Requirements

  • Must live in the township of Hawkesbury or in a 10 minute vicinity.

  • Must be prepared to assist in case of any emergency at any given time of the day or night 

  • Must be fully bilingual in French and English

  • Knowledge of SAGE Software is a plus

  • Bookkeeping knowledge and experience

  • Proficiency in Microsoft Office Suite ( Excel, Power point, Word)

  • Professional attitude and appearance

  • Solid written and verbal communication skills

  • Customer service attitude

  • Management and staff supervision experience

  • Experience working with vulnerable individuals is a plus.

  • High school degree; additional certification in Office Management is a plus
